Location: Dar es Salaam, Tanzania

Division & Project Overview:
The Quality and performance institute (QPI) is a division of URC that has implemented quality improvement and operations research programs in health care since 1981 and continues cutting edge of health care improvement work in countries around the world.
The USAID Applying Science to Strengthen and Improve Systems (ASSIST) is the QPI's leading project that is dedicated to improving health, population and nutrition services through technical support to service delivery institutions, country Ministries of Health, USAID country missions, and cooperating agencies. The project carries on the work of the USAID Health Care
Improvement Project (wwW.hciproject.org) and is focused on building the capacity of host country providers and managers to apply modern quality improvement methods; make essential services accessible to all who need them, and ensure that care is delivered in compliance with standards and client needs, for every client, every time ..
An important global objective of the ASSIST Project is knowledge management: to facilitate documentation and sharing of evidence for improvement of specific care processes, based on the work of individual QI teams, large-scale improvement efforts, and/or research, and to make this information readily available through Web technology.


Roles and Responsibilities:
The Administrative Assistant will be responsible for [brief overview of the position]. The primary duties • Provide administrative support to Project Office where s/he will maintain the Project Asset register and supervise cleaning, provision of relevant utilities and organize office security.
• Support the project procurement section by soliciting quotations for various project procurement as necessary as well as keeping track of invoices and payments.
• On daily basis reconcile M-PESA original client" telephone numbers and payment telephone numbers to ensure that the right individual is paid.
• Process Work Permits for expatriate staff and Visa to the Staff who are traveling on TOY.
• Supervise correspondences, collection of information, writing reports and ensures that decisions' made are communicated to the relevant people.
• Support technical staff in filing, preparing, and distributing reports and other documents; booking of hotels and airline flights; and providing logistical support at workshops and meetings.
• Work on documents in order to prepare them for publication as needed by the office; transcribe minutes of meetings such as Learning Session as needed for the purpose of documentation of progress in the Collaborative.
• Supervise relevant staff to ensure that as needed collection of mail from the post office; delivering documents to partner offices in Oar es Salaam; purchasing office supplies; making photocopies; sending faxes etc.

Preferred Qualifications:
Required Experience and Qualifications
• Secondary school education
• Literate in computers
• Training or at least working experience in project office administration.
A Team player and honesty

Desired Experience and Qualifications
• Fluent in English and Swahili
Please note: Only candidates who are eligible to work in Oar es Salaam, Tanzania for an indefinite period without a need for sponsorship will be considered for this position.
