Job Description
The Alliance for International Medical Action (ALIMA) is an independent medical nongovernmental
organization (NGO) that responds to people caught in humanitarian crises by
working to reduce suffering from high mortality rates.
ALIMA intends to recruit a Program Support Officer (PSO) to assist ALIMA-TZ in managing
administrative and logistical functions in Dar Es Salaam:
The Program Support Officer (PSO) has the following tasks and responsibilities. This list is not
exhaustive:
1. Acting as Dar es Salaam focal point for staff management activities
i. Monitor and follow all staff movements into and out of Dar Es Salaam; both
local and international travels
ii. Provide support to ALIMA staff in Dar Es Salaam, including arranging transport,
arranging accommodation, providing perdiem, and making payments as
required with prior approval from Coordination
iii. Ensuring compliance with ALIMA and donor regulations
2. Acting as Dar es Salaam focal point for all administrative activities
i. Collecting and dropping off documents on behalf of ALIMA as necessary
ii. Ensuring mail is collected from the PO Box and/or courier services and
transferring to the base on a regular basis
iii. Submitting official documents on behalf of ALIMA as required
iv. Ensuring compliance with ALIMA and donor regulations
3. Acting as Dar Es Salaam focal point for all logistical coordination
i. Working with the logistics department to manage imports of supplies, including
the administrative management of customs-related documents and any other
procedures related to the importation of goods
ii. Acting as purchaser of goods procured in Dar Es Salaam
iii. Managing the transport of supplies to ALIMA field locations, as indicated
iv. Ensuring compliance with ALIMA and donor regulations
4. Attending and assisting coordination meetings in Dar Es Salaam when required
i. Attending meetings related to the facilitation of ALIMA programs, as indicated
by the Coordination
ii. Taking minutes of meetings and submitting by email to Coordination within 1
business day
5. Other Business As Required
Duration of the Contract and Salary
The PSO will be recruited as a temporary staff for 3 months, with possibility for extension.
Modifications to this contract time period must be made in writing, signed by both parties.
Salary based upon a pre-determined salary grid. This is a local staff contract.
Reporting and Communication Requirements
The Support Officer will communicate with the ALIMA Coordination team, with direct line
management by the Head of Mission and delegated functional management by the line
coordinators.
PSOs Profile and Qualifications
The minimum qualifications requested are as follows:
• University degree
• At least 2 years of working experience
• Experience working with NGOs an asset
• Working knowledge of the procedures as governed by the Tanzanian labor laws
• Strong analytical and inter-personal skills
• Good capacity to communicate with people from different backgrounds and positions,
as well as with local and national authorities
• Excellent command of spoken and written English is a must
• Excellent command of spoken and written Swahili is a must
• Authorization to work in Tanzania
Preferred qualifications requested are as follows:
• Experience working with international NGOs
• Proven working experience in the field of NGO governance in Tanzania
