It is therefore inviting applications for an Internship Programme that would run for a period of twelve (12) months. The Programme provides an opportunity to unemployed graduates to gain meaningful experience that will complement their studies and gain access to the labour market.

DURATION: The internship programme is implemented over twelve (12) months and the interns would be rotated within OPS departments being exposed to various functions within the business.

Job Title :                                Office Administrator/Coordinator
Reporting Level:                      The position reports to the Operations Manager - Tanzania

Purpose of the Job:                
To provide efficient and effective Office / Site administration and coordination support for Tanzania office and site operations
Key Responsibilities
  • Executing Travel, visas and Hotel arrangements and transfers for management and employees of Aggreko as per the business within optimum time and at efficient cost.
·        Safety briefings for visitors to Tanzania and East Africa.
·        Cross checking the bills received from various vendors (Housekeeping, Mobile/Landline service providers and other service providers).Send the bills to the Finance Department after complete cross checking.
·        Daily administrative activities such as attendance checking , ensuring the proper cleaning is done , keeping required stock in the pantry and stationary department, supervising the office cleaner and scheduling workflow to meet the daily requirements.
·        Ensuring that all the employees across work site connected through an efficient mobile network.
·        Managing leave process for employees on rotation and proactively providing visibility to management on excessive working as well as excessive time at home.
·        Support with HR administration function for medical claims processing
·        Arranging meetings and conference calls across various locations in the country as per the need of the business.
·        Management and administration of the attendance systems for Tanzania office.
·        Supporting the OM / OS and team leads in all sites with administrative functions for Tanzania Operations
·        Reception and front desk services
·        Administration of contract for vehicles/buses/transport when needed.
·        Assist in arranging delivery/return of all IT equipment for new joiners/leavers.
·        Administration of mobile phones SIM cards, internet connection and billing for phones.
·        Provide general administrative support to the operations team.
·        Displays a commitment to Orange Excellence initiatives
·        Supporting other Area Coordinators in the administrative and support duties

Job Title:                                Accountant
Reporting Level:                    The position reports to the Head of Finance
Purpose of the Job:             
The job incumbent is responsible for providing accurate input to the books and records in the area of responsibility in compliance with IAS, US-GAAP, Ecolab and local standards, compliance of all tax related issues in the area of responsibility and ensure administrative procedures are adhered to in area of operation. Specifically;
ü  Ensure consistent application of all relevant policies and procedures
ü  Accurate booking of receivables in Tanzania
Key Responsibilities
ü  Participate in internal and external audit, supervising and responding to audit queries during statutory and revenues authority tax audits to final or conclusion stage. Build up and maintain clear communication and co-operation with all internal and external auditors
ü  Provide tax related support ensuring Ecolab East Africa (T) Ltd is compliant with statutory requirements
ü  Collection of revenue from our customers posting in to the accounting software.
ü  Ensure adherence to internal controls in all processes.
ü  Participate in stock take.
ü  Updating and advising on the changes of Tanzania business environment such as new Tax laws/regulation or amendments, political and others that may affect Ecolab’s operation in the country.
ü  Review fixed assets register and accounting (acquisition, sales, depreciation) and performs regular inventories. 
ü  Establish PPV on a monthly basis for Kenya, Uganda & Tanzania by reviewing with the SC teams responsible in the regions
ü  Monthly GRN Suspense analysis:
ü  Maintain petty cash
ü  Co-operate in the local process for yearly and periodical financial planning.
ü  Provide needed information (routine financial reporting)
ü  Work in compliance with statutory requirements in the area of responsibility
ü  Co-operate with internal & external auditors, suppliers and customers
ü  Assure the protection of assets of Ecolab according to defined guidelines. Asset verification for Tanzania to ensure they exist and used as per company’s regulation/policies.

Job Title:                                           Field Operations Manager - Tanzania
Reporting Level:                              The position reports to the VAS Manager, Kenya & Tanzania

Purpose of the Job:                       
To deliver effective operations performance in accordance with the Area Business Strategy and agreed Customer SLAs. The Field Operations Manager is responsible for managing, controlling and leading all the Field Operations activities in the country, i.e. Sea, Air and VAS Operations to ensure a seamless delivery of the products to the customer. Operations will involve all ground operations activities including documentation, vendors & carrier relations. On a day-to-day basis, this role will be required to ensure consistent, seamless end-to-end delivery of operations and support the customer service teams in resolution of customer queries and escalations.
This role is also responsible for execution of the Operational Excellence strategy that leverages on a combination of cost reduction and quality of operations to deliver towards our customer value proposition.
Key Responsibilities
·        Lead and Manage the field Operations team to focus on the key Performance Deliverables, i.e.
·        Managing Customs Clearance & deliveries on the ground with coordination with the CSO.
·        Support customer service in customer query resolution and exception handling
·        Maintain relationships with Carriers, obtain rates and maintain tariffs
·        Work with CI on continuously improving processes, procedures to heightenproductivity, timeliness and quality
·        Ensure compliance to internal & external audit controls


Qualifications and skills
·        8+ years’ experience in managing large Operations / Customer service teams with minimum 5 years’ experience in the Logistics sector
·        Experience in Operations and wide exposure across all the logistics products & processes- Sea, Air, VAS including Trucking, CHB, Warehousing and Cargo-Insurance
·        Lean / Sigma, Process knowledge is a pre-requisite & experience of having worked in Operations office is beneficial
·        Passion for service delivery, responsiveness and for identifying constant improvements
·        Good understanding of MODS/Kewill/Fact – but not a super user necessarily
·        Familiarity with Damco Policies and Processes relating to the following is preferred:
o   Customer Service Quality Standards, Quotation Standards and Pricing Policy
o   Financial Management processes relating to credit approval process, invoicing / dunning, and job file profitability management
o   Forwarding Products including VAS, Insurance, etc.
o   Trade Lane Management process, including procurement process, allocation management process, Preferred Carriers, and Carrier charge structure
